3 Ways Event Planners Can Utilize Slack

Event planners on their mobile phones using the slack app If you’re in the business world, you probably have used or at least heard about Slack. This communication platform allows entire companies and teams to connect, collaborate and make office communication more organized and accessible overall. In fact, Slack is the current tool of choice for the Aventri team to connect with each other across the world every day. Not only can we talk one on one through private messaging, but we can video chat, create specific group channels, integrate apps and (much to our delight) even send each other a funny GIF or two throughout the day!

That got a few of us thinking – how can a platform like Slack be useful for event planning? Successful event planning is highly dependent on communication and lots of it. So any tool that helps facilitate that has a lot of potential in our industry.

Here are just some of the ways you can utilize Slack to improve your event planning:

1. Encourage Internal Collaboration

This is the obvious intended use of Slack, but if you haven’t explored it yet for your event planning team, you should. Along with a chat function with an internal directory, you can setup specific channels for various aspects of your event: marketing, technology, food & beverage, event programming and so much more to keep communication and collaboration organized. There are also countless Slack apps that event planners can take advantage of; GrowthBot (which answers simple questions about sales and marketing), Lunch Chain (to organize meals and outings), Marker (to send annotated screenshots) and Simple Polls (to poll, of course), just to name a few. You can also integrate other favorite tools like Skype and Google Drive, for further efficiency.

2. Better Communicate with Speakers, Sponsors, Etc.

Slack can be useful as a place to organize channels for communicating with speakers, sponsors, VIP guests and other important stakeholder groups. Not only can you share group-specific information and updates in real time, but they will have a place to get their questions answered quickly, and those answers will likely be useful information others in the group will appreciate. Say you want to schedule a call with all your speakers – you can use Simple Polls to figure out the best time for all, ping people directly who still need to respond and make the group call directly in Slack.

If you’re worried about adoption, sign up is easy and users can they can download Slack as a mobile or desktop application. If they’re already using Slack, users can also easily switch back and forth between different “workspaces.”

3. Enhance Attendee Engagement

Slack is a great place to foster engagement pre-, during and post-event for special interest groups among your attendees. Perhaps you have a group that meets every year to discuss a specific topic or a roundtable discussion that really hits it off. Create a channel on Slack and invite these attendees to keep the conversation going in between events. This is another great place to utilize Simple Polls, document and content sharing and to organize online group meetings and webinars. Not only will your attendees have a place develop a sense of community related to your event, but there’s so much valuable information you can glean from their conversations that can help you to make constructive changes your event program

While there are a lot of tools out there to help make event planning communication more organized and efficient, Slack is one of those tools that you should consider using, especially if you’re using it already internally. The important thing to remember to have Slack success is that it takes moderation and nurturing. If you take the time to nurture your internal and external communication efforts on Slack, you’ll never go back!
